As per your rights, we inform you how we collect, store, access, and otherwise process information relating to individuals. In this Policy, personal data (“Personal Data”) refers to any information that on its own, or in combination with other available information, can identify an individual.

We are committed to protecting your privacy in accordance with the highest level of privacy regulation. As such, we follow the obligations under the below regulations:

This policy applies to secured-forms.com.

This Policy does not apply to third-party applications, websites, products, services or platforms that may be accessed through (non-Landlord Web Solutions) links that we may provide to you. These sites are owned and operated independently from us, and they have their own separate privacy and data collection practices. Any Personal Data that you provide to these websites will be governed by the third-party’s own privacy policy. We cannot accept liability for the actions or policies of these independent sites, and we are not responsible for the content or privacy practices of such sites.

This Policy applies when you interact with us by doing any of the following:

  • Make use of our application as an authorized user
  • Visit a public facing form submission page

What Personal Data We Collect

For administrators and users of secured-forms, we collect the following types of Personal Data:

  • Account information such as your name, email address, and password
  • Company information such as company name, logo URL
  • Documents uploaded for the purpose of presenting to guests / form submitters

For guests, people submitting forms, the information we collect depends on the configuration of the forms chosen by the secured-forms.com customer (the administrators mentioned above). No additional information is collected outside of the information provided by the guest when filling out a form.

Data may include:

  • Personal information such as name, address, previous address, emergency contact information
  • Work related information such as your occupation, employment details

Some forms may collect the following Sensitive Personal Data:

  • Government Identifiers such as driver’s license numbers, Social Insurance Numbers

How We Collect Your Personal Data

We collect Personal Data strictly from user input.

Administrators (product customers) provide data via customer onboarding, and can manage the information through various user interfaces behind a secure login.

Guest data is only collected via the guest filling out and submitting a form. By submitting the form you are consenting to provide data to secured-forms.com, which is viewable only within a secure login by the administrators of the corresponding form.

If you provide us with any Personal Data relating to other individuals, you represent that you have the authority to do so and acknowledge that it will be used in accordance with this Policy. If you believe that your Personal Data has been provided to us improperly, or to otherwise exercise your rights relating to your Personal Data, please contact us by using the information set out in the “Contact us” section below.

Device and Usage Data

Only necessary cookies to run the service are enabled. We do not collect any additional information from your browser.

Data from third parties

We do not collect any personal information from third parties while using secured-forms.com.

Purpose and Legal Basis for the Processing of Personal Data

We collect and use your Personal Data with your consent to provide a necessary service to our customers.

Where we process your Personal Data to provide a product or service, we do so because it is necessary to perform contractual obligations. All of the above processing is necessary in our legitimate interests to provide products and services and to maintain our relationship with you and to protect our business for example against fraud.

Third Party Tools

We do not use any third party tools on secured-forms.com. Data processed does not leave our servers.

We will share your Personal Data with third parties only in the ways set out in this Policy or set out at the point when the Personal Data is collected.

Landlord Web Solutions Inc. d/b/a Rentsync acts as a data processor on behalf of third-party customers, such as landlords and property managers, who contract our services to facilitate the collection of your personal data. Upon collection, these third-party customers are granted access to this personal data to conduct their business operations.

It should be noted that third parties may export and store this personal data in their own external systems. We bear no responsibility for any consequences arising from such actions by our customers. Please be aware that the handling of this data by third parties is governed by their respective privacy policies.

Legal Requirement

We may use or disclose your Personal Data in order to comply with a legal obligation, in connection with a request from a public or government authority, or in connection with court or tribunal proceedings, to prevent loss of life or injury, or to protect our rights or property. Where possible and practical to do so, we will tell you in advance of such disclosure.

We do not, and will not permit our services to be used to commit any crimes, break any laws, or conduct any unlawful activities. Should Landlord Web Solutions Inc. d/b/a Rentsync become aware of any such activity, we will immediately suspend all engagements with the perpetrators and notify local law enforcement.

Retention & Deletion

We will retain your Personal Data only for as long as it is necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. Specifically:

  • Form submission entries will be stored in Landlord Web Solutions Inc. d/b/a Rentsync systems for a period of 2 years.
  • For all other Personal Data collected, we will retain it for the duration of your customer relationship with us. Upon termination of your customer status or upon your request, we will promptly delete all of your Personal Data within 30 days, unless retention of such data is required by law or necessary for our legitimate business purposes.

Merger or Acquisition

If we are involved in a merger, acquisition or asset sale, your personal information may be transferred. We will provide notice before your personal information is transferred and becomes subject to a different Privacy Policy. Under certain circumstances, we may be required to disclose your personal information if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

We have appropriate organizational safeguards and security measures in place to protect your Personal Data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed.
